Draft: A plain-English starting point based on what this website actually collects. Fill in the [bracketed] details, register with the ICO if required (most UK businesses handling customer data pay a small yearly fee), and have it reviewed before launch.

[Business name / your full name trading as Teesside Traders Hub], [address] (“we”) is the data controller for the personal data described here. Questions or requests: hello@teessidetradershub.co.uk.

What we collect and why

When you join and sign in

  • Email address, to create your account and send sign-in links. Lawful basis: contract.
  • Display name you choose for the chat. Lawful basis: contract.

When you pay

  • Payments are handled by Stripe. Your card details go straight to Stripe and we never see or store them. We receive your name, email, billing country/postcode and subscription status. Lawful basis: contract; legal obligation (accounting records).

When you use the members’ area

  • Chat messages you post, visible to other members. Lawful basis: contract.
  • Daily check-ins: the dates you visit, used to calculate your XP, streak and rank. Your display name, rank and streak are shown to other members. Lawful basis: contract.
  • Meetup RSVPs, so we know who’s coming. Lawful basis: contract.
  • Your profile: anything you choose to add (picture or logo, bio, town, the year you started trading, experience level and pairs you watch). It’s visible to other members. All of it is optional. Lawful basis: contract. Profile pictures are stored at a web address that isn’t password-protected, so anyone who has the exact link could view the picture. Don’t upload anything you wouldn’t want seen publicly.
  • Friend connections and direct messages between members, so you can talk privately. Only you and the person you’re messaging can read them; we don’t read them unless someone reports a message to us or the law requires it. Lawful basis: contract; legitimate interests (keeping members safe from scams).

When you apply for a VIP Day

  • Name, phone, email, trading experience and what you tell us about your struggles and goals, so we can assess whether we can help and call you to book. Lawful basis: steps taken at your request before entering a contract.

Things we don’t do

  • We don’t sell your data, and we don’t use advertising or tracking cookies.
  • We never ask for your broker login or trading account details.

Cookies

We only use cookies that are strictly necessary: the sign-in cookie that keeps you logged in, and Stripe’s cookies on its payment pages to prevent fraud. On your own device, the position size calculator remembers your balance and risk % in your browser’s storage. That never leaves your device.

Who we share it with

  • Supabase: hosts our database and sign-in (EU/UK region).
  • Stripe: takes payments.
  • [Hosting provider, e.g. Vercel]: runs the website.
  • [Email provider, e.g. Resend]: sends sign-in emails.

Some of these providers may process data outside the UK; where they do, they use legal safeguards such as the UK International Data Transfer Addendum.

How long we keep it

  • Account, profile, chat, direct-message and rank data: while you’re a member, and deleted within 12 months of your membership ending. You can remove your profile picture or edit your profile at any time.
  • VIP applications: 12 months, unless you book a day.
  • Payment and invoice records: 6 years, as required for tax.

Your rights

You can ask to see the data we hold about you, correct it, delete it, restrict or object to how we use it, or receive a copy to take elsewhere. Email us and we’ll respond within one month. If you’re unhappy with how we handle your data, you can complain to the Information Commissioner’s Office (ico.org.uk, 0303 123 1113).
